Cabs for Corporate Events, Conferences and Client Visits

Airport pickups, hotel shuttles and cars for your guests, coordinated on the day

Event transport fails in small ways: a speaker waiting at arrivals, a shuttle that leaves before the session ends, a driver who can't find the service gate. We plan every movement, brief every driver and put one coordinator on the phone, so your team can run the event instead of chasing cabs.

  • Airport waves and name boards
  • Hotel to venue shuttle loops
  • One on-ground coordinator
  • One GST invoice per event

What we handle so your team doesn't have to

The hard part of event transport is timing, not cars. Guests arrive on twelve different flights, sessions overrun, a VIP wants to leave early. We plan for that:

  • Arrival waves. Guests landing close together share a vehicle. Flights are tracked so delays don't strand anyone.
  • Shuttle loops between hotels and the venue, timed to session breaks rather than the clock.
  • Name boards and contact details sent to guests before they land.
  • A standby vehicle on bigger events, for the early leaver or the breakdown.
  • Venue checks: drop points, parking and gate access agreed with the venue before the day.

How many vehicles will you need?

Start from the movements, not the headcount. A rough guide for a one-day event:

MovementTypical approachWhy
Airport arrivalsGroup by arrival waves; sedans for outliersGuests don't wait for a full van
Hotel to venue (morning)Tempo Travellers on a loopEveryone needs to arrive within the same 30 to 45 minutes
VIPs and speakersDedicated Innova Crysta or sedanTheir timings change at short notice
Venue to dinnerSame shuttles, re-timedAvoids paying for a second set of vehicles
Late drops homeMUVs or sedans by areaPeople leave at different times

Seat counts exclude the driver and assume normal luggage. Airport groups with large bags need more space.

How we plan event transport

Five stages from the brief to the last drop.
  1. 1

    Event brief

Dates, venue, hotels, headcount, arrival list and the schedule of sessions.

  2. 2

    Transport plan

Vehicle mix, airport waves, shuttle timings and buffer for each movement.

  3. 3

    Quote and sign-off

Per-vehicle and per-transfer costs, extras and the coordinator, in writing.

  4. 4

    Driver briefing

Drivers get guest names, timings, venue gates and drop points before the day.

  5. 5

    Event days

One coordinator on call, standby vehicle ready, every trip GPS-logged.

How event transport is billed

  • Most common

    Per vehicle per day

A package of hours and km for each vehicle, for example 8 hours and 80 km. Extra hours and km at agreed rates.

Best for: Conferences and multi-day events.

  • Per transfer

A fixed price for each airport, station or hotel transfer, by vehicle type.

Best for: Arrival and departure days.

  • Outstation package

Per km with a daily minimum, plus driver allowance, tolls and state taxes.

Best for: Venues outside the city.

How to book cabs for your event

Five steps. Most of the work happens before the event day.
  1. 1

    Share the event details

Send the dates, venue, headcount and arrival list through the enquiry form or email hello@corporatecarrent.com.
  2. 2

    Get the transport plan

A movement-by-movement plan with vehicles and timings, and a quote.
  3. 3

Confirm and share the guest list

Final names and flight details a few days before, so pickups can be assigned.
  4. 4

    Run of show

Your team gets the coordinator's number and the driver list for each movement.
  5. 5

    One invoice

A single GST invoice for the event, with each trip listed.

Frequently asked questions

How early should we book cabs for an event?

As soon as the date and rough headcount are fixed. Two to three weeks is comfortable for most events. Tempo Travellers and large numbers of the same model get booked out first around busy dates such as year-end and the conference season, so big events need more lead time.

Do you provide someone on the ground during the event?

Yes. For events with several vehicles we assign one coordinator who holds the schedule, talks to every driver and is the single number your team calls. That stops your event staff from managing drivers themselves.

How do airport pickups work when guests land at different times?

We build the plan around arrival waves. Guests landing close together share a vehicle, outliers get a sedan, and drivers track each flight so a delay doesn't leave a guest waiting or a car idle. Name boards and the driver's number are sent in advance.

How is event transport billed?

Usually per vehicle per day, on a package of hours and kilometres (for example 8 hours and 80 km), or per transfer for airport runs. Extra hours, extra km, tolls and parking are added as agreed. You get one GST invoice for the whole event.

Can you handle an event in another city?

Yes, in any of the cities we serve, and outstation venues from them. Send the venue, dates and headcount through the enquiry form or email hello@corporatecarrent.com.
